Shared inbox

One WhatsApp number, your whole team in it

WhatsApp lets you link 4 devices to one number. That stops working the moment a second colleague is reading along: you can't see who already replied, and when someone leaves, the conversation walks out with the phone. Connect that same number to an inbox your whole team works in together.

The problem

Four linked devices is not a team inbox

What the free app does well, and where it gives up once more than one person answers.

Two answers to one question

Two colleagues see the same message and both start typing. The customer gets two replies, sometimes saying different things.

Nobody owns it

A question that needs looking into sits there. There's no way to say: this one is yours.

The history lives on a phone

When someone leaves, the conversation leaves with the handset. Whoever picks up that customer next starts from nothing.

No idea what's still open

You can't tell how many conversations are waiting and which ones are done. Everything looks equally urgent.

How it works

From one phone to a shared inbox

1

You connect your number

Through Meta's own sign-up screen: your existing number moves onto the official WhatsApp Business Platform. We're a Meta Tech Provider, so there's no separate developer application needed.

2

Your team gets access

Everyone works in the same inbox under their own account. Messages arrive live, so a colleague's reply shows up in front of you as it's sent.

3

You split the work

Assign a conversation, put a label on it, and mark it resolved when it's done. The Open, Mine, Unassigned and Resolved tabs keep count of what's left.

In the inbox

What you can do inside a conversation

Assign

Put a conversation in a colleague's name, or take something out of Unassigned yourself. You can assign several at once.

Color-coded labels

Tag a conversation as Quote or Complaint, then filter the inbox by that label. You manage the label list yourself.

Internal notes

Write down what you found out. Your colleagues see the note, the customer never does.

Photos, documents, voice notes

Whatever a customer sends opens in the inbox: images, PDFs, voice messages. You can send them too.

Search and filters

Search by name or number, filter by status or label. The counts on each tab follow whatever you filtered.

The 24-hour window, visible

After a customer messages you, you can reply freely for 24 hours. How much of that is left shows on the conversation.

Your own number

You keep your number, and the app on your phone keeps working

The reason businesses put this off is almost always the same one: they don't want to lose the number or the history. Neither has to happen.

  • Your current WhatsApp Business number stays exactly as it is. Customers won't notice the switch.
  • The app on your phone keeps working. You can answer on the road while your team works in the inbox.
  • Up to 180 days of conversation history comes across into the inbox. That transfer happens once, while the number is being connected.

Your greeting, away message, quick replies and labels keep working in the app. They also stay stuck in that app: one phone, one person, invisible to the team. What Meta does switch off: disappearing messages, view once, live location, and broadcast lists become read-only. Any other linked devices are disconnected when the number is onboarded.

Who it's for

When a shared inbox solves something real

  • There are 2 or more people answering customer questions.
  • Customers currently message one employee's number.
  • You want to look back at what was agreed the last time a customer got in touch.
  • You work with seasonal staff who move on after a few months.
  • A colleague needs to take over a conversation without picking up someone else's phone.
AI in the inbox

An answer already waiting

For a question you get all the time, an AI step can write the answer up front from your own knowledge. It waits in the conversation as a draft, with send, edit and dismiss next to it.

Price

What it costs

The shared inbox sits in the Growth plan: € 199 per month, up to 10,000 contacts, every automation and integration included. No setup fee, and no minimum number of seats to pay for. Meta charges separately for messages you start; replies inside the 24-hour window are free for the first 1,000 per number each month.

Common questions

About working in WhatsApp together

Yes, on up to 4 linked devices sharing one number. Everyone sees everything, and nobody sees who picked up what.

There's no assignment, no shared label, no note, and the history is tied to the handset you linked from. For 1 or 2 people that's fine. From 3 it falls apart.
