The Sunday-night trial request gets an answer before anyone looks elsewhere

At ten in the evening somebody asks through your Instagram how the trial week works, and at that hour nobody is behind the desk. The conversation starts without you, and an instructor books the intake the next morning.

Hi, I saw your trial week on Instagram. How does it work?
20:12
Automated
The trial week runs 7 days and starts with a half-hour intake. What do you mainly want to work on?
20:12
Mostly stamina, I haven't trained in two years.
20:15
Got it. Wednesday 18:30 there's an intake free with Youssef. Shall I put you down for that?

How it goes today

Where the evening rush breaks down

  • Between 17:00 and 20:00 everyone is out on the floor, so the desk is unstaffed at the busiest hour of the day.
  • Questions about the class schedule, the notice period and pausing a membership come round again every week.
  • Requests arrive through the form on your site, through Instagram, and through an instructor's private number.
  • Nobody notices a member who hasn't trained in three weeks, until the cancellation shows up in the mailbox.
The member journey

From first request to a member who keeps showing up

Request

Someone asks for the trial week through your ad, your site or the QR code by the entrance, and the conversation is open straight away.

Intake

The flow asks what their goal is and which days suit them. Booking the intake itself is done by one of your staff, in your own schedule.

Trial week

During that week a message goes out about the first group class, what to bring and when the floor opens.

Signing up

After the last day comes the question whether they're carrying on, answered in the conversation rather than on a form.

Staying

Members who haven't been in for a few weeks get a message. You need their permission beforehand to send it.

What clubs do with it

Situations from an ordinary week

A request at 22:00

The trial-week request gets an answer about how it works and what it costs, with the desk closed.

Canceling or pausing

A request like that always goes to a member of staff. No step exists that changes a membership by itself.

This week's schedule

Questions about group classes and opening hours get answered from what you wrote down.

A spot opens in spinning

When someone drops out of a full class, that spot goes as a message to the members who signed up for it.

Three weeks without a visit

The members in that segment get one message together, before the cancellation arrives.

Two locations, one number

Instructors and the desk work in the same inbox, with a label per location.

Integrations

What your membership system passes on

We connect through Zapier and through inbound webhooks. If your membership system passes on a new sign-up, a trial week or a term running out, the flow picks it up and sends the message that belongs with it. Whatever it doesn't pass on you send yourself, based on the labels on your contacts. If your membership system isn't covered yet, say so. We fit around the system you already run and build that connection.

Price

What it costs

Flows and campaigns are part of the Groei plan. Meta charges separately per conversation you start. Replies to a member's question within 24 hours are free today, and from 1 October 2026 the first 1,000 per number each month.

Frequently asked questions

About WhatsApp for your club

Yes. That number moves to Meta's official WhatsApp Business Platform, with your club's name and logo on it. Members message the same number they always did.

The WhatsApp Business app on your phone keeps working, and up to 180 days of chat history comes along once.
